Abu Dhabi Private Schools Mandated To Maintain Student Records

ABU DHABI: Private schools in Abu Dhabi are now required by the Abu Dhabi Department of Education and Knowledge (ADEK) to maintain detailed individual student records for at least five years after a student departs. Graduation records, however, must be stored indefinitely. This directive ensures efficient school operations and data accuracy, forming part of ADEK’s newly implemented record-keeping policy, effective from the current academic year. Compliance with this policy is expected by the start of the 2025–2026 academic year.

The record-keeping policy specifies the type of data to be maintained, including personal details, academic progress, behavioral incidents, and medical records. Schools must adhere to stringent data protection laws when handling sensitive personal data. ADEK’s policy highlights the importance of confidentiality, accuracy, and the necessity for digital record storage. The guidelines also stress that medical records align with Department of Health standards, requiring schools to ensure health information is updated and confidential.

Parents are entitled to access their children’s records upon request, although copying or removal of documents from the school clinic is prohibited. Schools must also secure approvals for external requests to share medical records. Physical education teachers and coaches will have access to relevant medical information to ensure students’ safety during physical activities, reinforcing the holistic care approach ADEK envisions for student well-being.

Non-compliance with these regulations could result in penalties under ADEK’s policies and other applicable laws. This policy underlines ADEK’s commitment to improving educational standards, enhancing data management practices, and safeguarding student information, emphasizing the critical role of schools in fulfilling these obligations.
